About The Role: Administrative Assistant

Our Administrative Assistant ensures our real estate team can operate smoothly—whether we’re wholesaling properties, coordinating acquisitions, or managing dispositions. You’ll help schedule meetings, maintain databases, handle communications, and provide vital support across all departments. What You’ll Be Doing
Office & Calendar Management
Coordinate schedules, book appointments, and organize meetings so everyone stays on task and on time.
Maintain office supplies and resources, ensuring the team has what they need to run smoothly.
Data Entry & Record-Keeping
Update CRMs, spreadsheets, and internal databases with accurate property information, client details, and transaction records.
Prepare weekly or monthly summaries on leads, deals in progress, and completed transactions.
Communication & Correspondence
Serve as a point of contact for internal teams, external vendors, and clients, routing messages promptly and professionally.
Draft emails, letters, and other documents as needed, maintaining a consistent tone aligned with our Aim Up principles.
Transaction & Document Support
Assist in preparing offers, contracts, and closing documents, ensuring all paperwork is complete and filed correctly.
Collaborate with the acquisitions, dispositions, and underwriting teams to gather necessary data and signatures.
Scheduling & Event Coordination
Organize property visits, team training sessions, and company meetings, managing logistics to avoid conflicts and delays.
Coordinate travel arrangements or event details for conferences or out-of-town property inspections.
Process Improvement
Identify ways to streamline administrative tasks and strengthen internal workflows, suggesting new tools or methods when appropriate.
Maintain clear SOPs (Standard Operating Procedures) for administrative tasks, ensuring consistency and quality.
